Create an Invoice

Create customer invoices, add products or free-text lines, attach files, and send the invoice by email.

Introduction

This video shows how to create an invoice in Einsys from the Invoicing page.

Einsys lets you create invoices for customers, choose the correct currency, add invoice details, attach supporting files, and send the invoice directly by email.

Invoices can be created using products from Inventory or as Free text invoice lines for services, custom work, or other charges.

What the video shows

  1. Open Invoicing.
  2. Review the default invoice currencies. Einsys includes Pounds, US Dollars, and Euros by default.
  3. Add additional currencies if your business needs them.
  4. Click Add Invoice to create a new invoice.
  5. Choose the customer from Contacts.
  6. The invoice email address is prepared from the customer details, using the Accounting Email when available, so the invoice can be emailed once it is created.
  7. Add the invoice details, including issue date, due date, invoice series, invoice number, status, and description.
  8. Attach files if supporting documents need to be sent with the invoice.
  9. Add invoice articles.
  10. Search and select a product from Inventory when the invoice is for stock or products already managed inside Einsys.
  11. When a product is selected from inventory, product details can be carried into the invoice line, and the invoiced quantity can be deducted from stock.
  12. Use Free text when the invoice line is for a service, custom work, or anything that does not need to be pulled from Inventory.
  13. Add the description, price, units, VAT option, VAT rate, and any line notes.
  14. Review the subtotal, VAT, and total.
  15. Create the invoice.
  16. The customer receives the invoice by email, together with any attached files.

Invoicing in Einsys connects customer records, inventory, attachments, VAT, currency, and email sending in one workflow.

Instead of preparing invoice details separately, teams can create the invoice from one page, select the customer, add products or free-text lines, and send the invoice directly.

When inventory products are used, the invoice can also support stock deduction, helping keep sales and inventory connected.

Invoice documents can also be personalised from Settings and Document Settings. Businesses can add their logo, bank details, invoice terms, and conditions so invoices sent from Einsys reflect their company information.
